About the Role:
A global leader in healthcare is seeking a highly organized and detail-oriented Executive Assistant to support the GA&P EMEA Senior Directors.
Key Responsibilities:
Calendar Management
- Schedule meetings and appointments for senior directors.
- Track important dates and deadlines.
- Coordinate with the broader team to plan meetings and events.
- Follow up on budget-related tasks:
- Office budget tracking
- Department budget monitoring
- Expense management for senior directors
Communication
- Take and distribute notes from team meetings.
- Manage and update the GAP Brussels distribution list.
- Act as the primary point of contact for internal and external parties, including partners, stakeholders, Diegem site staff, and suppliers.
- Serve as liaison for stakeholders and external partners.
Travel Arrangements
- Organize all aspects of travel for the senior directors, including:
- Booking flights, accommodations, and transportation (home–airport–hotel) using Amex Travel.
- Preparing and distributing detailed travel itineraries through Amex or relevant travel providers.
Requirements:
- High School diploma or equivalent education required.
- 4–6 years of professional experience in an executive assistant or administrative support role.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- High level of discretion and confidentiality.
- Proven ability to manage complex schedules, budgets, and travel arrangements.
- Fluent in English; knowledge of additional European languages is a plus.
- Comfortable working independently and collaboratively in a high-pressure environment.
Practical’s:
Location: Diegem, Belgium (On-site)
Duration: 6 months initially
Start Date: ASAP
