Import Clerk (Antwerp, Belgium)
WHAT YOU'LL BE DOING
This role will provide top tier customer service and operational support for import shipments. Manage documentation, customs lodgments, and cargo release processes efficiently to ensure compliance and customer satisfaction.
ESSENTIAL RESPONSIBILITIES INCLUDE:
· Provide the highest level of customer service to all customers, ensuring timely and accurate coordination of cargo unpacking and release.
· Issue correct documentation to customers and agents within required timeframes.
· Register shipping documents within 24 working hours of receipt.
· Issue arrival notices at least 7 working days prior to vessel arrival.
· Ensure all customs lodgements are processed within the required timeframe.
· Secure one new clearance job per week.
· Prepare FAK (Freight All Kinds) delivery orders for release at least 7 working days prior to vessel arrival.
· Send required depot paperwork within 12 working hours of receiving the shipping line delivery order.
· Issue outturn reports to customers the day before LCL cargo availability.
· Complete and close all files from Monday to Sunday of the previous week by Friday.
· Create and issue invoices and distribute delivery orders promptly.
· Arrange unpacking and release of cargo efficiently.
· Complete costings on files so they reflect correct profit at the end of each week/month.
· Ensure customers at the front counter are attended to promptly and professionally.
· Develop and maintain strong relationships with customers and vendors.
· Respond professionally to all written communication within 24 hours of receipt.
· Communicate clearly and listen actively to ensure understanding and resolution of issues.
· Adhere to all company policies, procedures, and departmental SOPs while seeking continuous improvement.
· Collaborate effectively within the team, as measured by peer and management feedback.
· Prioritize daily tasks in order of importance to meet deadlines.
· Think creatively to identify innovative solutions that reduce costs or increase productivity.
MINIMUM QUALIFICATIONS AND REQUIREMENTS:
· Minimum 3 years of experience in import operations, freight forwarding, or LCL logistics.
· Strong understanding of shipping documentation, customs clearance processes, and Incoterms.
· Proficiency in MS Office (Excel, Word, Outlook); experience with freight management systems is an advantage.
· Excellent organizational skills with the ability to prioritize tasks and meet strict deadlines.
· Strong attention to detail and accuracy in data entry and documentation.
· Effective written and verbal communication skills in English and French
· Ability to work collaboratively in a team environment and maintain professional relationships with customers and vendors.
· Problem solving mindset and ability to adapt in a fast paced operational setting.
