Human Resources Administrative Assistant (German speaking)

As part of our continued growth, we are looking for a motivated HR Administrative Assistant – German Speaking who will support our German operations while being based in Belgium.


This role is ideal for someone who enjoys an international environment, has strong administrative skills, and is eager to develop expertise in German HR & payroll processes.


Main Responsibilities


As an HR Administrative Assistant, you will be a key support for our German blue-collar population and the HR activities linked to Germany. Your responsibilities will include:


  • Employee file management: handling administrative processes from onboarding to offboarding (contracts, amendments, absences, leave, certificates, etc.).


  • Operational HR support: assisting managers and employees with HR-related matters, including training follow-up, performance reviews, and disciplinary procedures.


  • Monitoring & reporting: preparing dashboards and HR indicators for effective decision-making.


  • Continuous improvement: contributing to the optimization of internal processes and suggesting innovative digital tools.


  • Internal communication: acting as a trusted HR contact point for employees in both German and English.


Cross-Country Collaboration


  • Act as a key point of contact for HR matters between Belgium and Germany.
  • Collaborate closely with the HR & Payroll team, as well as local contacts in Germany (Sembach).
  • Be willing to travel to Germany (Sembach) 2 to 4 times per month to support onsite activities.


Profile


  • Proven experience in HR administration or payroll support.
  • Strong understanding of German social legislation.
  • Knowledge of blue-collar legislation in Germany.
  • Experience or affinity with German payroll is a plus.
  • Strong administrative, organizational, and problem-solving skills.
  • Excellent communication skills in German (native speaking) and English
  • French is a strong asset
  • Based in Belgium (Waterloo), with availability to travel regularly to Germany (Sembach)
  • Team-oriented, structured, and comfortable working in an international environment.
