Executive Management Assistant

In Brussels, we have our Structural and Mechatronics Engineering offices, where all our new programs begin and our workshops are equipped with modern

machines that produce complex metallic assemblies for aircraft and space launchers as well as advanced Thrust Vectoring Systems for space launchers.

SABCA Brussels is also the home to our "Unmanned Autonomous Systems" aka: the drones solutions unit

Mission

As Management Assistant, you will play a pivotal role in supporting the CEO and the Senior Management Team (SMT), while also providing cross-departmental administrative and organizational support, notably for HR, Quality, and internal communication efforts. This is a full-time position requiring high adaptability, discretion, and strong organizational skills.

Responsibilities

1. Executive Support 

  • Manage the CEO's calendar, meetings, travel, and appointments.

  • Prepare presentations and KPI dashboards.

  • Draft and manage correspondence, reports, and documentation on behalf of the CEO.

  • Oversee purchase orders (PO) linked to CEO activities.

  • Act as liaison between the CEO and internal/external stakeholders.

2. Support to SMT

  • Arrange travel for SMT members and assist in exceptional cases (e.g., Paris Air Show).
  • Coordinate logistical support for executive events and trade fairs.

3. Events & Internal Communication Support (approx. 10%)

  • Assist in organizing internal events such as:
    • Saint Eloi
    • Saint Nicolas
    • Family Day
    • Base events (e.g., Beauvechain)
  • Create flyers, documents, and visual communication materials via Canva.
  • Provide occasional support for internal mailings and campaigns.

4. HR Administrative Support 

  • Coordinate logistics for job fairs (school contacts, booth reservations, flyers, material preparation).
  • Manage NATO access procedures (registration, communication, follow-up).
  • Order and manage business cards.
  • Support for onboarding (leaflet printing, database updates).
  • Handle temporary workers' timesheets (entry, validation).
  • Manage platforms and databases (Securex, Certimed, etc.) for joiners/leavers.
  • Maintain training participant lists (until fully digitized).
  • Verify IDs and legal documents (e.g., police records) for external personnel.

5. Quality Support 

  • One-shot support in KPI consolidation and reporting.
  • Assist with trend analysis for the lab (1 day/month).
  • Update training databases (approx. 3h/month).
  • Maintain structured document management and nomenclatures.

6. Tools & Process Management

  • Ensure proper use and follow-up of Goelett (procurement tool) and Rydoo (expense management).
  • Follow-up on purchase orders across departments.
  • Contribute to process improvement initiatives across departments.

Profile 

Education

  • Bachelor's degree in Office Management or equivalent.

Experience

  • Minimum of 5 years in an Executive or Management Assistant role.
  • Experience in an industrial or aerospace environment is a plus.

Technical Skills

  • Excellent command of Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with SAP/S4Hana and other ERP/CRM systems is a strong asset.
  • Experience using Canva or similar tools for document/flyer creation.

Soft Skills

  • Fluency in Dutch, French, and English (written and spoken) is mandatory.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and time-management abilities.
  • Ability to prioritize, multitask, and stay organized in a dynamic environment.
  • High level of integrity and discretion in handling confidential information.
  • Team player with a proactive mindset.
