Equinet, the European Network of Equality Bodies, brings together specialized Equality Bodies from European countries set up to promote equality and combat discrimination on the grounds covered by the EU Equal Treatment legislation (gender, racial or ethnic origin, religion or belief, disability, age or sexual orientation) and beyond.

This is a
fulltime (38 hours/week) paid traineeship
to be performed at the Equinet secretariat, located
in Brussels, Belgium (maximum of 3 days per week of working from home).

The traineeship fits into the framework of a Convention d'Immersion Professionnelle under Belgian law. 
Under the legal Belgian internship scheme used, candidates should
:

  • be less than 30 years old,
  • already have the legal right to work in Belgium (non-EU citizen already legally registered in Belgium or EU citizen).

Job Description:

We are looking for a motivated and organized intern to join our Finance & Operations team and assist in managing our Brussels-based Secretariat and in particular our professional events (conferences, trainings, dinners, etc.) in Brussels and across Europe. You will have the opportunity to work on multiple projects simultaneously (around 12 in-person events per year) and actively contribute to their success, with the support of the team and manager. While the focus of the traineeship is event management, you will also get the opportunity to work on other aspects of managing the office of a network organisation.

: 6 months with possibility of 6-month extension (extension only open to non-Belgians 
due to legal regulations
).

Candidate Profile:

  • Already authorised to live and work in Belgium
  • Recent
    graduate
    in event management, communication, administration, finance, or
    similar background.
  • Highly organized, detail-oriented, and able to manage multiple events and tasks simultaneously. Hands-on.
  • Results-driven, proactive, and capable of taking ownership of projects.
  • Strong customer-service mindset with excellent communication skills across international stakeholders.
  • Digital-savvy, eager to learn and adapt to new tools (Spendesk, CRM – HubSpot, Excel, etc.)
  • Experience with project management tools (Trello, Monday, Loop, etc) -
    desirable
  • Fluent written and spoken English (C1) and good command of French (B2) –
    required
    .
  • Flexible, autonomous, and a collaborative team player.
  • Able to travel occasionally for short-term missions abroad (up to 3 days)

Main Responsibilities:

  • Manage and monitor contracts in collaboration with the Finance department.
  • Organize all event logistics, including venue selection, hotel reservations, transportation, and catering.
  • Research, contact, and compare hotels, venues, and service providers to select the best options.
  • Assist in managing event budgets alongside your supervisor, including maintaining simple budget tracking in Excel for each event.
  • Handle participant inquiries and ensure clear communication before, during, and after events.
  • Support the team in internal and external coordination and communication.
  • Be available for occasional short trips abroad (up to 3 days) to assist with conferences if needed.
  • Contribute to additional projects aimed at improving processes and tools, based on your interests and skills, including:
  • Supporting the implementation of Spendesk and managing expense reports related to Events.
  • Supporting the implementation and use of the CRM (HubSpot) to centralize event information.
  • Assisting your supervisor in implementing and managing the project management tool.
  • Supporting the Head of Finance with the Monitoring, Evaluation, and Learning (MEL) program.

Compensation & Benefits:

  • Monthly net Compensation: €1,400
  • Meal vouchers (8€/day worked)

The traineeship will only start once the authorization has been received from Brussels professional education authorities (Bruxelles Formation). This process can take up to 10 working days following submission of the request.
