The Payroll Coordinator is responsible for accurately processing and managing payroll operations using ADP, while also assisting with general Human Resources administrative functions. This position ensures compliance with Puerto Rico and U.S. labor laws, maintains payroll and personnel records, and provides excellent support to employees. The ideal candidate is organized, detail-oriented, and able to handle confidential information with professionalism and discretion.
Key Responsibilities- Process payroll accurately and on schedule through ADP for all employees.
- Calculate employee pay based on hours worked, including overtime, leave, and tips, ensuring proper application of policies and regulations.
- Review and verify timecards, attendance reports, and tip records prior to payroll submission.
- Manage payroll adjustments, bonuses, deductions, and benefits contributions in accordance with company policies.
- Maintain and update employee payroll and personnel files in compliance with Puerto Rico and federal labor regulations.
- Coordinate with the Accounting Department to ensure accurate payroll reporting, reconciliation, and journal entries.
- Prepare and submit payroll-related reports, including taxes, garnishments, and compliance filings.
- Calculate payroll liabilities, including federal and state income taxes, Social Security, unemployment, and other employer contributions.
- Verify availability of leave time prior to processing leave on the payroll system.
- Distribute payroll checks to department supervisors and ensure receipt verification.
- Respond to employee inquiries regarding pay, deductions, benefits, and timekeeping.
- Research and resolve payroll discrepancies by gathering and analyzing data and collaborating with HR and Finance.
- Assist during internal and external payroll or HR audits, providing required documentation.
- Support HR with onboarding and offboarding, including new hire documentation and maintenance of personnel files.
- Ensure proper custody, organization, and confidentiality of all employee records and payroll documentation.
- Prepare reports summarizing earnings, deductions, leave balances, and other payroll metrics as needed.
- Provide general administrative support to HR functions, including filing, scanning, and organizing employee records.
- Maintain compliance with company policies, internal controls, and applicable labor laws.
- Safeguard employee confidentiality and protect payroll operations by maintaining secure information handling.
- Stay current with payroll and HR best practices, ADP system updates, and labor law changes.
- Perform other related duties as assigned by supervisors or management.
Qualifications- Associate's or Bachelor's degree in Accounting, Human Resources, or a related field (preferred).
- Minimum of 2 years of payroll processing experience using ADP (required).
- Basic knowledge of Human Resources practices, including employee file management and recordkeeping.
- Prior experience in the hospitality industry
- Solid understanding of Puerto Rico and U.S. payroll and labor laws.
- Excellent attention to detail, organization, and time management skills.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Bilingual (English and Spanish) Read, write, and speak fluently.
