The Hong Kong University of Science and Technology is establishing Hong Kong's third medical school.
We are now seeking a highly qualified, dedicated and motivated individual to join our dynamic and supportive team for the position of Assistant Director / Senior Manager (Administration & Planning). The successful candidate will work closely with the Executive Director (Strategic Initiatives) and the School's senior management team for the planning and operationalization of the School in alignment with the goals of the University.
Key Responsibilities
The appointee will be involved in various aspects of the School of Medicine, with major duties including but not limited to:
- Oversee the development of plans, timelines, and project monitoring across key areas to support establishment of the School of Medicine.
- Play a leading role in the School's administrative set up and operations, including governance, policies and procedures, recruitment, and cross-departmental relations.
- Proactively oversee, coordinate, and monitor activities related to student affairs, external relations, communications, media and marketing, and development of the School's research strategy and its administrative support.
- Engage with colleagues in the School of Medicine and University, as well as external stakeholders as appropriate, to take forward the planning, implementation and operationalization of key aspects of the School, and for ad hoc events and projects.
- Draft proposals, papers, reports, presentations, and other materials to further institutional goals, as required.
- Maintain accurate documentation, record-keeping and databases to ensure efficient retrieval of information and compliance with institutional policies.
- Contribute to the School's and University's planning in various aspects, including financial planning and budgeting, staffing and infrastructure planning.
- Mentor and manage team members, to foster a collaborative and innovative work environment.
- Perform additional duties as assigned by the supervisor.
Requirements
- Applicants should hold a bachelor's degree, with a higher relevant degree and/or other professional qualification(s) highly advantageous, and relevant post-qualification work experience in a sizeable organization or tertiary institution within the education sector (minimum 8-10 years work experience for Senior Manager, or minimum 12 years work experience for Assistant Director).
- The ideal candidate will possess a deep understanding of the clinical and biomedical education and research landscape, with strong experience in student affairs, external relations, communication, marketing, and research administrative support.
- Exceptional leadership, planning and organizational skills, with a strong sense of priorities and responsibility, coupled with excellent judgement, problem-solving, and decision-making abilities. Self-initiative to manage competing tasks under tight schedules.
- Excellent communication and interpersonal skills, with the ability to influence and manage relationships with internal and external stakeholders, including cross-functional teams, across academic departments.
- Proficiency in written and spoken English and Chinese (Cantonese and Putonghua).
- Good IT and computer application skills.
Work outside normal office hours, including weekends/public holidays or evenings may occasionally be required.
Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided where applicable. Appointments will initially be made on a 2-year contract with contract-end gratuity, renewable subject to good performance and mutual agreement.
