To support our daily operations, we are looking for a hands-on Management Assistant who enjoys structure, precision and variety.
Your role
As a Management Assistant, you will play a central role in supporting the daily operations of our organization. You will assist the Belgian Director and Managing Partner with agenda and meeting management and provide administrative and operational support across our finance, legal and office domains. You are structured, proactive and detail-oriented.
Key responsibilities
1. Finance & Administration
- Preparing and following up on invoices using our internal tool (Yoobi)
- First-line processing of accounting documents (purchase/sales invoices, expense notes, etc.)
- Managing outstanding payments and debtor follow-up
- Periodic reporting (e.g. timesheets, expenses, cash flow overviews)
- Supporting the time registration system
- Managing the general finance mailbox
2. Legal Support
- Drafting and following up on contracts with clients and freelancers
- Preparing documents for signature by all parties
- Performing initial reviews of general terms and conditions
- Managing the legal mailbox
3. Calendar & Meeting Management
- Managing the calendars of the Belgian Director and Managing Partner
- Scheduling internal meetings and events
- Taking minutes and tracking follow-up actions
4. Office & Events
- Ensuring the office remains clean, organized and welcoming
- Handling purchases and sales of office or event materials
- Organizing team lunches, internal gatherings and office outings
What we’re looking for
- Preferably a first experience in an administrative or support role
- Highly organized, accurate, and able to work independently
- Clear, professional communicator with a sense of discretion
- Fluent in Dutch, with good knowledge of English and, ideally, French
- Interest in or affinity with finance, administration, and legal documents
