Officer / Assistant Officer - School of Business and Management (UG Programs)

HKUST Business School is looking for a self-motivated and dedicated individual to join one of our flagship programs - BBA in Global Business (GBUS) - to provide comprehensive administrative and operational support. As a member of the UG Programs team, the appointee will work under the supervision of the GBUS Program Director and report to the GBUS Program Manager.

Key Responsibilities:

  • Event Management: Plan and coordinate logistics for a wide range of events involving program stakeholders, i.e., faculty, students, alumni, prospective students, parents, corporate partners, etc.
  • Financial Administration: Handle program expenses such as sponsorships, purchase orders, and reimbursements, and support the annual budget exercise.
  • Communications: Facilitate program communications by liaising with stakeholders, creating presentations, and handling email correspondence.
  • Database Maintenance: Update student databases to ensure accuracy and efficiency.
  • Ad-hoc Support: Demonstrate flexible support for ad-hoc tasks and administrative duties as assigned to meet program needs.

Requirements:

  • Bachelor's degree with 2 years of relevant full-time and post-qualification work experience, preferably in students' activities and/or education sector. Candidates with less than 1 year of full-time experience may be appointed as Assistant Officer. 
  • Team-oriented, driven, and accountable; demonstrating a proactive problem-solving attitude and a strong commitment to team success.
  • Strong multitasking and time-management skills, with proven ability to work independently while maintaining attention to detail under tight deadlines.
  • Embrace a flexible mindset and focus on professional development.
  • Fluent in both spoken and written English and Cantonese, facilitating effective communication in diverse environments.
  • Proficient in Microsoft Office applications (Word, Excel, and PowerPoint) and basic IT applications, with experience in simple graphic design. Knowledge of data processing and records management is a plus.
  • Flexible working outside normal office hours or weekends to meet project needs.

(Duration: 2 years, renewable)

Starting salary will be commensurate with qualifications and experience.  Fringe benefits including annual leave, medical and dental benefits will be provided.  A gratuity will be payable upon successful completion of contract.
