Administration & Events Officer


Missing Children Europe represents 35 NGOs in 28 European countries active in combatting the disappearance and sexual exploitation of children. We provide the link between research, policies, and organisations on the ground, to protect children from any kind of violence, abuse or neglect that is caused by, or results from them going missing.

Missing Children Europe is looking to recruit a versatile and dynamic Administration and Events Officer to complete our team, supporting activities in the field of missing children and helping us transition to a new, hybrid office culture with a focus on sustainability.

Tasks:

The Administration & Events Officer will support the Secretary General and Finance and Payroll Manager in internal office management, administration, event organisation, membership administration, and operations, and will implement our HR, health and safety and sustainability policies, including:

  • Office administration
  • Planning and administration of our general assemblies, both digital and live, including maintaining records, taking minutes, and preparing documents.
  • Support to the organisation's HR and financial management, including invoicing and member fee collection.
  • Supporting IT systems in collaboration with the IT provider to ensure seamless operation.
  • Coordination and logistics for annual events, conference, and symposium as hybrid events, including managing subscriptions, booking speakers, etc.
  • Supporting the recruitment process in collaboration with the hiring manager, from job posting to candidate placement.
  • Contributing to a positive hybrid office culture and liaising with building management and service providers, including preparation for our planned move in December 2025.
  • Further development and implementation of our office sustainability strategy including implementation of sustainable buying and travel policies
  • Development and implementation of a digital archiving policy including managing access to and maintenance of our digital records.
  • Overseeing implementation of the office CRM system, ensuring it is kept updated and ensuring GDPR compliance
  • Supporting compliance with health & safety regulations and maintaining the risk register in coordination with building management.

Profile, skills, and background:

  • Minimum 2-3 years of relevant experience, ideally in a similar role in another NGO or small enterprise based in Belgium.
  • Fluent in English and French; other languages an asset.
  • Ability to listen, build trust, and understand the needs of staff, members, Board, and Patrons;
  • Resilient, patient, and able to work with people from different professional and cultural backgrounds;
  • Ability to work efficiently under pressure, while managing priorities;
  • Excellent organisational skills, meticulous and discreet
  • Excellent IT skills (MS Office), experience using CRM an asset
  • Having Health & Safety (level III) training certification is a big plus
  • Willingness to support GDPR projects, and other NGO management tasks
  • Commitment to the cause of child protection

Conditions:

  • Full time permanent contract with a gross salary in the range of 3000€-3200€ (depending on the qualification and years of experience).
  • Attractive package including a 13 month, 7 extra-legal paid holidays for a full-time position and 20 legal holidays (will depend on candidate working in Belgium in the previous year), health insurance, transport costs, teleworking allowance, ecocheque and lunch vouchers.
  • Starting date: as soon as possible
  • The successful candidate must have a valid work permit for Belgium and be based in Belgium. The candidate will work at our office in Brussels.
