Executive Assistant
to help drive structure, clarity, and velocity across multiple fronts.
Your Mission
As Executive Assistant, you will be the CEO's strategic right hand — managing operations, organizing priorities, and freeing up his time to focus on growth. This is
not just a classic assistant role
— you'll be
deeply involved in project execution, budgeting, travel coordination, supplier follow-ups, and team orchestration
.
You must be structured, sharp, loyal, and excited to work in a demanding but empowering environment.
Key Responsibilities
Executive Support & Administration
- Manage the CEO's agenda: meetings, appointments, briefings, and travel plans.
- Coordinate communications and serve as a point of contact with internal and external stakeholders.
- Ensure efficient documentation, file management, and digital organization across tools and platforms.
- Organize internal follow-ups, recurring check-ins, and decision-making meetings.
- Prepare presentations, executive summaries, and reports for board-level or partner meetings.
Strategic & Operational Project Support
- Support coordination of business initiatives in areas such as consulting, procurement, and real estate.
- Liaise with service providers, consultants, and partners across multiple geographies.
- Assist with monitoring key project deliverables and ensuring milestones are met.
- Contribute to internal process improvements and tracking of cross-functional tasks.
- Collaborate closely with the CEO on priority initiatives and strategic reviews.
Discretionary Support
- Provide occasional support on matters of personal logistics, budgeting, and coordination when needed.
- Maintain a high level of discretion and confidentiality at all times.
What we are looking for:
- Minimum 3 years of experience in executive support or project coordination.
- Excellent command of
 English and French
 (spoken and written).
- Proven ability to multitask, prioritize, and handle pressure.
- Highly organized and proactive, with a solution-first mindset.
- Excellent with Excel/Google Sheets, Google Drive, and calendar tools.
- Experience in a multicultural or international environment preferred.
- Bonus: Familiarity with procurement, real estate, or consulting is a strong asset.
- Willing to work 100% remotely

Minimum qualifications
- Bachelor's in business administration/science or engineering
- Experience expected: 3 years minimum
- Excellent English & French
- Strong interpersonal skills
- Work experience in Sourcing, Procurement & Purchasing
- Ability to demonstrate a range of influencing techniques
- Excellent stakeholder management skills
- Adaptable and comfortable working with ambiguity and change
- Strong analytical, presentation, communication (written & oral), interpersonal, negotiation and influencing skills
- Strong relationship management skills and a proactive customer-focused approach
- Forward and solution minded, team player and with high degree of self-management
- Ability to manage multiple projects, adopt a flexible approach and priorities tasks appropriately
- Comfortable navigating in a multicultural and broad environment and with all levels of the organization
- Ability to work from home or in a hybrid approach while delivering the highest level of performance and results
