Your Mission

We are looking for an enthusiastic Operations Coordinator to join our team in Antwerp, Belgium. This is an office-based administrative position that plays a crucial part in maintaining the efficiency and accuracy of our internal administrative, financial, and quality assurance processes.

This role is available for either a full-time or part-time arrangement.


Your Responsibilities

This vital role encompasses two main pillars: Financial Administration and Quality & Compliance.


Financial Administration

  • Be responsible for generating and sending out customer invoices, ensuring accurate invoicing and meticulous follow-up (using tools like SAP and Netsuite).
  • Review and process incoming invoices from operational subcontractors and various suppliers.
  • Provide essential administrative support with financial tasks, including managing expense reports and assisting with basic forecasting or budget processes.


Quality & Compliance

  • Be a core part of the team that designs, maintains, and ensures adherence to clear internal operational guidelines.
  • Assist with the preparation, execution, and renewal processes for quality and safety certifications such as ISO 9001, VCA, or other relevant standards.


Your Skillset

  • You possess relevant experience in similar administrative or support roles: min. 2 or 3 years.
  • You demonstrate excellent time management, prioritization, and multitasking abilities.
  • You have great organizational skills and a strong attention to detail.
  • You are comfortable working efficiently and independently with minimal supervision.
  • You possess effective communication skills, including professional writing and active listening.
  • You have excellent interpersonal skills to build strong relationships with colleagues across different departments.
  • You are proactive and open to giving and receiving constructive feedback.
  • Fluency in Dutch and English is required.
  • Experience with ERP systems (like SAP or Netsuite) is a strong plus.
