Head of Operations: Build the Backbone That Lets Our AI Agents Scale

Why this role matters
is at the stage where things get really interesting: product–market fit is emerging, demand is growing, and complexity is increasing fast. Our AI agents are already automating real work for real clients. Now we need the operational, legal, financial and people foundation to scale that impact safely and sustainably.
As Head of Operations, you turn ambition into execution: you connect vision, numbers and teams. You design how Rollo runs every day and how it grows over the next years. You will be the operational backbone of , making sure the company runs smoothly, grows in a controlled way, and stays financially healthy while the team builds.
You work closely with the CEO and have a direct say in how the company is structured and how it evolves. Decisions are fast, feedback is direct, and the impact of your work is visible within weeks, not years.
This is a role for someone who enjoys building structure in a growing company, not for someone who wants to maintain an existing machine.
About
is a no‑nonsense AI company focused on agentic automation and business process optimization. We build tailored AI agents that bulldoze busywork so teams can focus on what really matters.
Our crew is a tight-knit mix of engineers, strategists and operators who turn ambitious ideas into reliable systems. We're obsessed with impact, allergic to fluff, and believe the best tech companies are built on clear thinking, trust and ownership.
We're around 15 people today, from early‑career engineers to seasoned strategists, and we're entering the next stage of growth. You will help shape how we grow, not just follow a playbook.
What you will do as Head of Operations
Turn strategy into execution
Translate the company vision into concrete plans, OKRs/KPIs and scalable processes across teams.
Partner with the CEO on strategic projects, partnerships, acquisitions and (future) capital raises.
Continuously assess where we are as a company and what needs to exist next (from reporting to hiring to tooling) to support sustainable growth.
Build operational excellence (without bureaucracy)
Implement and improve systems, tools and automation for project delivery, internal coordination and reporting.
Design simple, robust processes that help the team move faster and with fewer errors, adding clarity, not red tape.
Set up monitoring and reporting so leadership has a clear, real‑time view on performance, risks and runway.
Lead people & culture operations
Own HR operations: contracts, HR processes, basic policies and compliance.
Coordinate recruitment, onboarding, and career development in close collaboration with team leads.
Help shape and protect our culture: clear communication, constructive feedback, rituals that fit a small, ambitious team, and a structure that supports high performance and well‑being.
Own compliance, legal & risk
Identify and mitigate operational, legal and data‑related risks in an AI‑first environment.
Ensure compliance with GDPR and other relevant regulations, in close collaboration with external legal and data‑protection advisors.
Oversee contracts, NDAs and partner agreements, making sure they are consistent, de‑risked and pragmatic.
Drive financial stewardship
Manage budgeting, forecasting, cash flow and financial reporting together with the founders and external accounting partners.
Oversee invoicing, payments and financial controls, ensuring accuracy, timeliness and transparency.
Provide clear financial insights and scenarios that support strategic decisions (e.g. hiring, investments, pricing, and runway).
What makes you a great fit
Skills & experience
4+ years of experience in operations, finance, HR, general management or a similar broad role.
You have helped a smaller company grow, for example a startup, scale‑up or entrepreneurial environment, and you know what it means to build structure while things are still moving.
Proven ability to set up and improve processes, systems and reporting in a growing organization, not just run them.
Solid understanding of financial basics: budgeting, cash flow, P&L, unit economics, and working with external accountants/partners.
Experience with HR operations (contracts, onboarding, basic policies) and working closely with hiring managers.
Comfortable dealing with legal and compliance topics (contracts, NDAs, GDPR, risk) together with external advisors.
Strong analytical skills: you are comfortable with data, metrics and dashboards and you use them to drive decisions.
Excellent written and verbal communication skills in English. Dutch is a plus.
Master's degree in Business, Economics, Engineering, Law or a related field is preferred, or equivalent experience in building and running operations in a growing company.
How you work
This role is less about a perfect CV and more about how you think and operate.
You will likely recognize yourself in most of these:
You enjoy 0→1→N. You like creating structure where there is none, then refining it as the company grows, not just managing a mature setup.
You've seen what \"too corporate\" feels like. You know how slow decision chains and politics kill speed and ownership. You are intentionally looking for a place where you can move faster again.
Strategic and hands‑on. You are comfortable in a leadership meeting discussing scenarios, and just as comfortable opening the spreadsheet, CRM or HR tool to fix the underlying issue yourself.
You think in systems. When something breaks, you look for the root cause and adjust the system, not only patch the symptom.
You make decisions. You are happy to own clear decisions within your remit, and you know when to pull in the founders quickly with a concrete recommendation.
Structured and reliable. People know they can trust your numbers, your plans and your follow‑through.
People‑savvy. You can talk with engineers, founders, lawyers and clients and keep everyone aligned without creating unnecessary layers.
Comfortable with ambiguity. You don't need everything to be defined upfront. You help create the definition.
This role will not feel right if you are at your best in very hierarchical environments, rely on long approval chains, or prefer highly standardized corporate processes. It will feel energizing if you like short lines, direct feedback and seeing the impact of your work quickly.
What you get as Head of Operations at Rollo
A key leadership role in a pioneering AI company focused on agentic automation and process optimization.
High ownership and impact: you shape how runs, grows and scales, from operations to finance to people. The systems you design now will still matter years from now.
Direct access to founders: work closely with the CEO, CTO and founding team on both strategy and execution.
Hybrid flexibility: work from our Antwerp office combined with remote days. You can reliably commute to our Antwerp office or are planning to relocate.
Growth opportunities: room to grow your scope (e.g. into COO or similar) as the company expands, if that is a path that excites you.
Competitive salary package aligned with your experience and responsibility.
A culture that fits builders: direct communication, low ego, high trust and a shared drive to do work that actually matters for clients.
How to apply
If you recognize yourself in this role and you're excited by the idea of building the backbone of a growing AI company, not just maintaining someone else's structure, we'd love to hear from you.
