As a PMO Administrative Assistant, you will play a key role in the smooth coordination and operation of the shERPa SAP S/4 transformation program, supporting program coordinators and change experts in a fast-paced and multilingual environment.
Main Responsibilities
• Manage agendas for all PMO team members (+/-10 people)
• Organize and coordinate design workshops, testing sessions, and training activities
• Book and manage meeting rooms and maintain the central project calendar
• Handle the central program mailbox and respond to internal project requests
• Participate in status meetings, take minutes, and follow up on action points
• Assist with onboarding of new team members (emails, badges, tools)
• Maintain SharePoint environments and update project management tools
• Manage holidays and project calendars, support documentation and deadlines
• Proven experience (5+ years) as a PMO admin in IT/ERP projects
• Strong command of MS Office tools, Teams & SharePoint
• Fluency in Dutch, French, and English (written & spoken)
• Demonstrated communication skills and proactivity
• Experience with project planning tools and JIRA
• Structured and solution-oriented mindset
• Familiarity with standardization of project procedures
