We are looking for an experienced Project Site Administrator to join our team on a large-scale, high-security data centre construction project in Mons, Belgium. This role is pivotal to ensuring that site operations run smoothly, compliantly, and efficiently supporting both the general contractor’s team and coordinating with subcontractors on-site. Monitor and ensure full compliance with Belgian labour laws and social regulations, including Limosa declarations, A1 certificates, CheckIn@Work, and subcontractor registration requirements Verify and maintain accurate records of personnel documentation, including right-to-work, site access permits, safety training certificates (e.g., Coordinate secure site access procedures in line with high-security data centre protocols, including background checks, visitor tracking, and daily access logs Support and enforce strict site compliance protocols across both direct employees and subcontractors, ensuring all companies and individuals meet local, legal, and client-specific requirements before mobilisation Act as a liaison between site security, HSE, and administrative teams to ensure access and workforce management is efficient and fully compliant Prepare documentation for audits and inspections by Belgian authorities or the client, ensuring readiness and alignment with GDPR and other data protection standards Provide day-to-day administrative support to site management, engineers, subcontractors, and suppliers Coordinate supplier onboarding, manage purchase orders, monitor delivery schedules, and ensure that invoices are properly approved and paid in collaboration with procurement and finance teams Liaise with procurement and logistics departments to support timely delivery of materials and services to site Support and coordinate meetings, take minutes, manage filing systems, and maintain up-to-date records for audits 5+ years of site-based administrative experience, ideally on data centre, pharma, or other critical infrastructure projects ~ Strong understanding and solid experience supporting of social compliance, site access procedures, and documentation within a high-security large scale construction environment ~ Strong working knowledge of procurement and supplier coordination processes ~ Proficient in Microsoft Office (Word, Excel, Outlook) and document control tools ~ Fluent in English and French; Dutch is a strong advantage ~ Able to commute reliably to Mons, Belgium, and be present on-site full-time ~ Our recruitment team will review your CV and, if you meet our criteria, we will reach out to you for an informal discussion.
