About Chillafish
Chillafish is a Belgian toy brand specializing in the design and production of innovative ride-on and activity toys for kids. Our mission is to inspire children (and their parents) to play longer and stay active through our balance bikes, tricycles, scooters, and other cool wheeled and backyard fun toys. We are a small team based in Antwerp, but we have a global footprint – our products are designed in Belgium, manufactured with partners in Asia (mainly China), and sold through major retailers and distributors worldwide (from the USA and Canada to Europe, South-America, the Middle East, and Asia). What You’ll Do – Key Responsibilities
In this role, you will wear many hats to keep our international sales and operations running smoothly. Your responsibilities will include:
- Coordinating Global Orders & Logistics: Manage the end-to-end order process for our international retail partners. This means receiving and inputting orders, scheduling production/shipment capacity, and tracking deliveries to ensure goods arrive on time around the world. You’ll follow up on container shipments, prepare shipping documents, and coordinate with freight providers (from ocean containers to UPS/FedEx) for timely delivery.
- Supporting Sales & Administration: Assist our sales managers by handling sales and purchase orders, managing complex tenders, and setting up new customers in our system. You’ll delve into big retailers’ vendor portals and requirements to make sure Chillafish complies with each partner’s procedures. This could include anything from uploading product info to arranging barcodes – you’ll be the go-to person to get it done.You document your learnings consistently in manuals and our ERP system (Odoo).
- Inventory & Production Coordination: Keep an eye on stock levels across our warehouses. You use the KPI’s provided by our business intelligence to understand stock needs. If a product is selling fast, you’ll flag it and help plan new production orders with our factories in China. You’ll liaise with the production team to ensure we have enough inventory and coordinate reorders so we never keep customers waiting.
- Customer Service Excellence: Provide friendly, efficient support to our customers and distributors. You’ll answer inquiries (by email or phone), resolve any issues or complaints quickly, and ensure every customer – big or small – gets excellent service. If a retailer has a question or a parent needs a spare part for their kid’s balance bike, you’re on it. You are not afraid of getting your hands dirty on shipping out a small spare part, next to handling the large orders.
- General Operations Support: Pitch in with general office and operations administration. This can range from maintaining sales and stock reports, assisting the CEO with operational tasks, to improving our internal manuals and guidelines. No two days are the same – one day you might be analyzing sales data, the next you’re coordinating a shipment or helping plan a marketing event. Through it all, you take ownership for results, not just tasks.

An eye for detail is a must – you catch small errors and ensure nothing falls through the cracks. Efficiency and accuracy are practically your middle names.
- Great Communicator: You have strong communication skills and enjoy helping customers. Fluent English (written and spoken) is required to work in our international context, and other languages (Dutch, French, German, Chinese, etc.) are a big plus. You can communicate clearly with everyone from a customer to a shipping agent in another country.
- Team Player with Initiative: You’re comfortable working in a small team and sharing ideas. At the same time, you take initiative and can work independently when needed. You’re not afraid to take responsibility and make decisions to get things done.
- Education & Experience: A Bachelor’s or Master’s degree (or equivalent experience) is preferred. This position is available also for a recent graduate or someone with limited years of experience. If you’ve done internships or student jobs in anything related to customer service, logistics, or business admin, that’s a bonus. Your drive and fit with our culture are more important than a specific background.
