Facilities Coordinator

As the Facilities Coordinator at our UBS site in Tienen, you ensure an efficient and safe working environment by overseeing facility services, operational support functions, and safety equipment maintenance. Your role is critical in maintaining the functionality and organization of workplace infrastructure, ensuring that all essential resources, such as workwear, hygiene products and safety equipment, are available and properly managed.

Your key responsibilities

• You manage the small equipment warehouse, ensuring proper workwear and personal protective equipment (PPE) management.
• You oversee the waste collection.
• You ensure day-to-day improvement: this includes maintaining and restocking hygiene products, coordinating pest control services and ensuring the functionality of kitchen equipment.
• You supervise the internal fleet of cars and vans.
• You ensure the availability and maintenance of first-aid kits, automated external defibrillators (AEDs) and fire extinguishers.
• You work closely with suppliers to guarantee timely replenishment of materials and monitor service contracts to ensure smooth operations. Balancing multiple facility needs while maintaining operational efficiency is essential.
• You ensure the strict compliance to safety and procurement regulations at all levels.
• You communicate and coordinate effectively with suppliers, service providers and internal departments. You interact clearly and consistently with the SHEQ (Safety, Health, Environment and Quality), Procurement, and Maintenance & Operations teams to make sure that all facility-related processes align with company standards and operational requirements.

Your profile

• You have experience in facilities management, logistics, or procurement.
• You have strong organizational and inventory management skills.
• You’re proficient in Microsoft Office and inventory management systems.
• Preferably, you also have knowledge of SHEQ compliance standards and/or experience in managing fleet operations.
